The Workplace Manager has the creativity, ability, and responsibility to translate Splunk’s core values into a physical and psychological workspace-community for their fellow Splunkers—regardless of office location. They work hard to maintain a comparable standard of service, facilities, and perks across Splunk offices, while remaining diligent to local character and preferences. The Facilities Manager is also an important liaison with other central Splunk departments, and cultivates strong working relationships across the company to facilitate an easy flow of information and partnership among locations.

Responsibilities include:

  • Lead office services & vendor relationships, such as with: property coordinators, food vendors, utilities, deliveries, janitorial, site maintenance, security, etc.;
  • Collaborate closely with other Splunk departments and offices (i.e. Finance, HR, Legal, Corporate Development, Recruiting, Marketing, Creative Services, IT) to provide support or information vital for compliance with local, national, and international laws or codes;
  • Conduct frequent “pulse check” walkthroughs of office to help maintain consistency of positive, efficient and clean work environment;
  • Facilitate office move transitions, relocations, and liaise with project teams on construction project management;
  • Collaborate with on & off-site managers to coordinate/host internal events
  • Manage budgets, complete and submit monthly expense reports, supervise and analyze spending patterns, and see opportunities for saving;
  • Oversees inventory and frequency of groceries/beverages/produce in office kitchen;
  • Inventory, order, and re-stock office supplies; includes stationary, printing supplies, computer/desk/meeting room accessories;
  • Ensures general cleanliness in communal spaces, particularly in break areas, reception, and meeting rooms;
  • Occasional paperwork filing and scheduling;
  • Encourage and model responsible consumption, composting, recycling, and waste management in office;
  • Research and resolve challenges related to facilities/operations;
  • Carry out minor furniture repairs and assembly;
  • Cover reception as needed: answer phones, relay messages, courteously greet/sign-in candidates & visitors, supervise all visitors to space;
  • Handle weekly catering orders; set up (and clean up) for meetings & events
  • Support local VPs and Sr. Directors with ad-hoc Workplace projects
  • Acts as liaison between local and remote Splunk leadership and project team to align needs for the local team through effective communication and observation
  • Being responsible for facilities coordinator/office assistant on day-to-day tasks as seen fit to maintain aforementioned facilities responsibilities
  • Act as support for internal and external teams scheduling and executing trainings in this space
  • Managing facilities coordinator/junior personnels’ personal career growth in daily conversations and weekly one on one meetings to ensure ever evolving growth and role for the improvement of the workplace and company
  • Election and management of a day porter who will maintain janitorial cleanliness of the space on a day to day basis

  • Proficiency in GDrive and its related tools

  • Strong personal and spatial organizational skills;
  • Basic IT literacy skills;
  • Experience working in a customer-facing environment;
