Coupa Software is seeking a Workplace Experience Manager at our Chicago, Illinois office. We will require someone with stellar communication and organizational skills who is able to wear many hats at once.
Oversee management of day-to-day facilities operations, compliance requirements, facilities maintenance and general office management across the business enterprise.
Work with Senior Manager of Workplace Operations to cultivate a productive and welcoming work environment
Explore, implement and maintain programs that enhance the workplace experience of our workforce
Coordinate and support internal and external office events including training, company all hands, party events etc.
Cultural Ambassador for Coupa
Provide general administrative support to the teams within the office and where else needed
Support facility planning and occupancy standards in support of company growth (specifically planning for ‘the new normal’)
Coordinate with property management on repair/routine maintenance on facilities and equipment and establish a preventative maintenance policy.
Strong project management skills to guide internal and external teams through design and permitting, to construction, furnishing and ongoing maintenance.
Researches and is proactive around improving office efficiency or cost savings and able to present ideas with context and clarity.
Support compliance to all Federal, State and Local Safety requirements, including emergency preparedness, ERT, Ergonomic Program, Fire Protection Plan, etc.
Assign and manage security access for employees and vendors.
Partner on sustainability initiatives including eWaste, energy & emissions and green initiatives.
Oversee onboarding of new hires and terminations in collaboration with HR and IT functions.
Participation in all workplace and facilities meetings
First Aid officer and Fire Warden; creating and updating evacuation manual for employees
Bachelor’s degree in a business administration, communications or a related field
5+ years of work experience in an office management role or relevant experience
You will be proactive and resourceful
Have the ability to communicate at all levels
Able to manage competing priorities to tight deadline
Have exceptional attention to detail, strong problem-solving skills and analytical abilities
Must be proficient in Google Suites and Microsoft Office.
